SUNDAY SEPTEMBER 11th 2016 -:- THE ARBORETUM

To indicate your interest in the 2016 event, and to receive full booking information please email info@nottmgreenfest.org.uk, including ‘stalls‘ or ‘food‘ in the subject line, but note that all catering is already allocated.

Include brief details of your proposal, email address (essential), facebook, twitter & postal addresses, indicating which may (or may not) be published on the website & social media.

You are also encouraged to subscribe to the email newslist for regular updates.

PLEASE READ THESE ADVICE NOTES CAREFULLY

Stall holders should ensure that they book as early as possible. Late bookings will only be accepted subject to space being available. The organisers reserve the right to refuse any booking.

  • No material of a racist, sexist, libelous or offensive nature will be permitted on site. The organisers reserve the sole right to decide whether any material falls into these categories.
  • No stall, exhibition or demonstration should exploit a dependent, captive or domestic animal.
  • It is the stall holder’s responsibility to ensure that no product from any company that is subject to a consumer boycott for violating human or animal rights is supplied from their stall.
  • Stall holders claiming “Craftwork” status must be able to demonstrate aspects of their craft.
  • Stalls must not sell alcohol, tobacco products or ice cream.
  • Caterers will not be using any animal product or ingredients. Other stall holders are encouraged to follow this ethical policy.

  • Stall holders should supply copies of appropriate Risk Assessments and Insurance (Company Name & Policy Number), where available. The Organising Group may consider exceptions for very small, informal or voluntary groups.
  •  This is not a commercial event and, in the interests of fairness to all, no stall space can be allowed without the appropriate fee having been paid. So-called “fly pitching” will not be permitted.
  • Stall holders operating tombolas etc must ensure that any prizes awarded are of both sound & legal construction, and that food or drink given as prizes is not “out of date”.
  • Selling of goods by auction, shouting or behaviour likely to annoy visitors or other Stall Holders will not be permitted. Do not accost visitors with leaflets, collection tins etc. Let them come to you.
  • All stall holders must provide their own fire extinguishers, with up-to-date certification, if required to do so by law.
  • Generators must not be used.
  • The use of megaphones or P.A. systems is restricted to those authorised by the Organisers.
  • Stall holders must take reasonable steps to ensure that their stall, and the area around it, is kept free from litter.
  • All stall holders are encouraged to give consideration to minimising the impact of their packaging.

  • Stall holders must separate waste for recycling, rubbish and food waste, and place this at the waste/recycling points provided around the site. Extra kudos may be given for accepting waste & recycling from visitors to your stall.
  • The organisers will not accept responsibility for any loss of, or damage to, any property whatsoever (including cars, bicycles or other methods of personal transport) belonging to stall holders, exhibitors or any other person on site for any reason.
  • Stall holders, exhibitors etc must comply with all statutes, bye-laws & legal regulations.

  • Stall holders may report to Site Control on arrival for advice on where to pitch their stall. Stalls must be set up by 12 noon at the latest.
  • Space is not allocated in advance (except for caterers & key site facilities). Stall holders are reminded that those arriving early will have more choices of where to set up.
  • Only one vehicle per stall will be permitted on the Arboretum site. Other vehicles must be parked at the Park-&-Ride or on the street (where legal). To accommodate more stalls, stall holders are encouraged to take all vehicles off site, that are not integral to their stalls.
  • No traffic movements will be permitted on The Arboretum site during the course of the Festival (12 noon to 6pm). To minimise the risk of accidents it is essential that Stall Holders who have a special reason to leave before 6pm contact Site Control for a Site Steward to escort them off the Park.
  • We do not supply stalls. There will be no table & chair hire facility available.
  • Bookings are not transferable. Only one group or organisation may operate from each booked pitch. Only those activities or sale of items as specified on the Booking Form will be permitted.
  • Booking fees cannot be refunded unless a stall booking is refused by the organisers or in the event of the event having to be cancelled by the organisers. (This has never happened!). In the event of cancellation by the organisers, stall fees would be refunded less £5 booking fee, to cover non-refundable costs already incurred.
  • Nottingham Green Festival Planning Group are all very busy on Festival Day. If you have any doubts about what you can sell, or do, or anything else, please contact us in advance of the event.

For Artizan Food Producers and Caterers (by invitation only).

  • Caterers must not  offer any animal product or ingredients. Other stall holders are encouraged to follow this new ethical policy.
  • All Food Producers and caterers must supply details of Level 2 Food Hygiene Training and provide appropriate facilities on their stalls.
  • Caterers must use sustainably produced, compostable (or easily recyclable) packaging. Extra kudos is given for the use of returnable/returnable mugs, plates & cutlery.
  • Other stall holders are invited to give consideration to minimising the impact of their packaging.
  • Catering stalls must not retail food or drinks in glass containers. (Subject to discussion with caterers).

THE ORGANISERS DECISION ON ANY MATTER IS FINAL.
